1. About this notice

This notice explains how Nex Global LLC, a company registered in Wyoming, USA, trading as Nex Systems ("Nex", "we", "us" or "our"), handles personal information when you visit our public website, use its free document check, contact us or request a demo. You can reach us at admin@nex.systems or through our contact page.

This website introduces Nex eKYC, Nex Screening and Nex AML. Information processed within those products is governed by the notices, customer agreements and data processing terms that apply to the relevant service. This notice does not replace those documents.

2. Information we collect

Information you provide

When you send an enquiry or request a demo, we collect the information you enter. Depending on the form, this includes:

  • Your name and work email address.
  • Your company, job title and country or region.
  • The products or enquiry topic you select.
  • Your message and any details you choose to share in later correspondence.

Required fields are marked on the form. We need those details to handle your request. Please do not send identity documents, payment details, passwords or personal information about your customers through these forms.

Free document check

If you use the free document check, you upload a photo of a passport or identity-card data page. It contains the holder's personal details, such as name, date of birth, nationality and document number, and may show their photograph. Only upload a document you have the right to check.

Information from website requests

Our website and hosting services may process technical information such as your IP address, browser, requested page, request time and error information to deliver and protect the website. Our enquiry forms also use temporary identifiers derived from an email address and, where available, an IP address to limit repeated submissions.

For information about cookies and browser storage, see our Cookie policy.

3. How we use information

We use information for the following purposes:

  • Responding to you: answering questions, arranging demos and following up on your enquiry.
  • Running the free document check: reading the uploaded image and showing you the result.
  • Managing business relationships: discussing products, partnerships and service requirements.
  • Operating and protecting the website: delivering pages, diagnosing problems and preventing spam or misuse.
  • Meeting legal obligations: responding to lawful requests, resolving disputes and protecting legal rights.

Where applicable law requires a legal basis, we rely on the basis appropriate to the activity. This may include taking steps at your request before a contract, our legitimate interests in responding to business enquiries and protecting our website, compliance with legal obligations, or your consent where required. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.

Submitting an enquiry does not subscribe you to a newsletter. We do not use the website's enquiry forms to make automated decisions that produce legal or similarly significant effects about you.

4. Who receives information

Enquiries are delivered to the Nex team by email. We use Resend to send form submissions to our business mailbox, with your email address included so that we can reply. Hosting, email delivery and mailbox providers process information as needed to support these services.

Free document checks are sent to Nex Screening, our screening service, which reads the image with a language model on Cloudflare Workers AI and returns the result to your browser. Those requests are excluded from our AI gateway logs.

We may also share information with professional advisers or authorities when necessary to meet a legal obligation, protect rights or respond to a lawful request. If our business is reorganised or transferred, relevant information may be shared as part of that process, subject to applicable protections.

We do not sell personal information submitted through this website.

5. International processing

Our team and service providers may process information in countries other than your own. Data protection rules can differ between countries. Where applicable law restricts international transfers, the required safeguards must apply to those transfers. Contact us if you need information about the arrangements relevant to your enquiry.

6. How long we keep information

We retain enquiry correspondence for as long as reasonably needed to respond to you, manage an ongoing business relationship and meet applicable legal or record-keeping requirements. Relevant factors include whether the conversation remains active, the nature of the request and any dispute or legal obligation.

The website does not maintain a separate database of form submissions. Messages remain subject to the retention settings and requirements of our email providers and business mailbox. Temporary form-abuse counters use a ten-minute window and are cleared as the website processes further requests or restarts.

Free document checks are not stored. Neither the website nor Nex Screening keeps the image or the result after it is returned to you. To limit repeated checks, Nex Screening keeps a usage counter keyed to a one-way hash of your IP address for up to 24 hours.

You can ask us about retention or request deletion using the contact details below. Some information may need to be retained where the law permits or requires it.

7. Your choices and rights

Depending on the law that applies to you, you may have the right to:

  • Ask for access to your personal information and a copy of it.
  • Correct inaccurate or incomplete information.
  • Request deletion or restriction of processing.
  • Object to certain processing, including direct marketing.
  • Receive eligible information in a portable format.
  • Withdraw consent where processing is based on consent.

To make a request, email admin@nex.systems. Describe your request and your relationship with Nex. We may need information to verify your identity before responding, and applicable exceptions may limit a request. We will respond within the period required by applicable law.

You may also raise a concern with the data protection authority responsible for your location. We welcome the opportunity to address your concern directly first.

8. Security and external websites

We use measures intended to protect personal information against unauthorised access, loss and misuse. No website or method of transmission can guarantee absolute security. Please avoid including sensitive information in a general enquiry.

Links to product applications, documentation or other websites may lead to services with their own privacy practices. Review the notice that applies to each service before providing information there.

9. Changes to this notice

We may update this notice as our website, practices or legal requirements change. The date at the top of the page identifies the latest revision. Where required, we will provide additional notice of material changes.

10. Contact us

For a privacy question or request, email admin@nex.systems and include "Privacy" in the subject, or contact Nex Systems.
