Introduction
This Cookie Policy explains how Nex Global LLC, a limited liability company organized under the laws of the State of Wyoming, United States of America, with its registered office at 1621 Central Ave #69914, Cheyenne, WY 82001, USA, trading as "Nex Systems" ("Nex", "we", "us" or "our"), uses cookies and similar technologies on nex.systems, its sub-domains and any other website or web application that links to this Cookie Policy (together, the "Websites"), including the login pages and web interface of our Services and our Free Tools.
Relationship with other documents. This Cookie Policy forms part of, and should be read together with, our Privacy Notice, which explains how we process personal data, the rights you have and how to exercise them. Where cookies or similar technologies collect personal data, the Privacy Notice applies to that personal data. For customers, the Terms of Service and the Data Processing Agreement also apply. Capitalized terms that are not defined in this Cookie Policy have the meaning given in the Privacy Notice or the Terms of Service. If this Cookie Policy conflicts with the Privacy Notice concerning personal data, the Privacy Notice prevails.
Customer deployments. Where a customer embeds or integrates a Nex component, such as an identity verification journey or an API-driven workflow, into its own website or application, the customer is responsible for the cookies and similar technologies used on its own website or application, and for any notice or consent that the law requires for them. Any technologies that Nex uses within such a component are limited to those that are strictly necessary for the component to function securely, as described in Section 3.
Acceptance. By continuing to use the Websites, you acknowledge that strictly necessary cookies will be placed on your device as described in this Cookie Policy, because the Websites cannot function properly without them.
1. What Cookies and Similar Technologies Are
In short: cookies are small files that a website stores on your device. Similar technologies do comparable jobs in other ways. This policy covers all of them.
1.1 Cookies. A cookie is a small text file that a website places on your computer, phone or other device when you visit it. Cookies allow the website to recognize your device, remember information about your visit and keep the website working securely. Cookies set by the website you are visiting are "first-party cookies"; cookies set by another organization through that website are "third-party cookies".
1.2 Session and persistent cookies. "Session cookies" last only while your browser is open and are deleted when you close it. "Persistent cookies" remain on your device for a set period, or until you delete them, so that the website can recognize your device on a later visit.
1.3 Similar technologies. Websites may also use technologies that work in a similar way to cookies, including: (a) local storage and session storage, which allow a website to store information in your browser; (b) pixels, web beacons and tags, which are small images or code that record when a page or email is viewed; (c) software development kits and scripts that collect technical information; and (d) device and browser identifiers. In this Cookie Policy, "cookies" includes all of these technologies unless we say otherwise.
1.4 Information cookies may contain. Depending on their purpose, cookies may contain a random identifier, a session or authentication token, a security token, a setting you have chosen, or technical information about your browser and connection. Some of this information may be personal data under data protection laws, in which case our Privacy Notice applies.
2. Our Approach: Strictly Necessary Cookies Only
In short: we use only the cookies our Websites need to work and stay secure. We do not use cookies to analyze, track or advertise to you.
2.1 Privacy by design. Nex designs its Websites to use the minimum number of cookies needed. At present, the Websites use only cookies that are strictly necessary to provide the Websites, the Free Tools and the Services that you request, to keep them secure and to prevent misuse.
2.2 Meaning of strictly necessary. A cookie is strictly necessary where it is essential for the transmission of a communication over a network, or where it is strictly necessary to provide an online service that you have explicitly requested. Examples include cookies that keep you signed in, remember the steps of a form you are completing, balance traffic across our servers, protect against fraudulent or malicious activity, and limit automated or excessive use of our Free Tools.
2.3 No consent banner. Because the Websites currently use only strictly necessary cookies, which data protection and electronic communications laws exempt from consent requirements, we do not display a cookie consent banner. If this changes, we will ask for your consent as described in Section 6 before placing any cookie that requires it.
2.4 Accuracy of this policy. We aim to keep this Cookie Policy accurate and up to date. Our hosting, security and content delivery providers may set cookies that are strictly necessary to deliver and protect the Websites; these are included in the categories in Section 3. If you believe that a cookie on our Websites is not described accurately in this policy, please tell us at privacy@nex.systems, and we will review it promptly.
3. Cookies We Use
In short: the table below lists every category of cookie we use, why we use it and how long it lasts.
3.1 Categories. The Websites use the following categories of strictly necessary cookies:
| Category | Purpose | Set by | Typical duration |
|---|---|---|---|
| Authentication and session | Keep you signed in to the Services, maintain your session as you move between pages, and sign you out after a period of inactivity | Nex (first-party) | Session, or a limited period where you choose to stay signed in |
| Security | Protect against cross-site request forgery, session hijacking, credential stuffing and other malicious activity; verify that requests come from a genuine browser | Nex and our security providers | Session to 12 months |
| Abuse prevention and rate limiting | Limit automated, repeated or excessive use of our Free Tools and forms, and block abusive traffic | Nex and our security providers | Session to 24 hours |
| Load balancing and performance | Route your requests to an available server and keep the Websites stable and available | Our hosting and content delivery providers | Session |
| Functional settings strictly needed for a requested feature | Remember choices that are needed to complete a request, such as the steps of a form or the language you selected for a page | Nex (first-party) | Session to 12 months |
| Single sign-on | Complete a sign-in through an identity provider that your organization has chosen to connect to the Services | Nex and your organization's identity provider | Session |
3.2 Cookie names. The names of individual cookies may change when we update the Websites or our providers update their systems, so this policy describes cookies by category. The current list of cookie names, with their providers and durations, is available on request at privacy@nex.systems. You can also see the cookies placed on your device at any time through your browser's settings or developer tools.
3.3 Durations. The durations above are maximums for each category. Where a cookie is no longer needed, it expires or is deleted earlier. You can delete cookies at any time, as explained in Section 7.
3.4 Services web interface. Once you sign in to the Services, the web interface may use local storage or session storage to keep your session secure and to hold settings you have chosen within the Services, such as table layouts or filters. This information is used only to provide the Services you have requested, and it is not used for analytics, advertising or tracking.
4. What We Do Not Use
In short: no analytics, advertising, tracking, profiling or social media cookies, and no cookies that collect your email address.
4.1 No non-essential cookies. The Websites do not use: (a) analytics or performance-measurement cookies; (b) advertising, retargeting or marketing cookies; (c) cookies that track you across other websites or build a profile of your interests; (d) social media plug-ins or sharing buttons that place cookies when a page loads; or (e) tracking pixels in our marketing emails.
4.2 No collection of contact details through cookies. We do not use cookies to collect your name, email address, telephone number or other contact details. When you choose to give us your contact details, for example by submitting a demo request or contact form, you provide them directly, and we use them as described in our Privacy Notice.
4.3 No sale or sharing for advertising. We do not sell information collected through cookies, and we do not share it with third parties for cross-context behavioral advertising.
4.4 No fingerprinting. We do not use browser or device fingerprinting to identify or track you. Technical information about your browser and connection is used only to deliver the Websites, keep them secure and prevent abuse.
5. Third-Party Content, Links and Integrations
In short: other websites and services you reach from ours have their own cookie rules, and we are not responsible for them.
5.1 Links to other websites. The Websites may contain links to websites operated by third parties, including official sanctions-list publishers, regulators, news sources, professional networks and our partners. When you follow a link, you leave our Websites, and the operator of the other website may place its own cookies on your device under its own cookie and privacy policies. We do not control those cookies and are not responsible for them.
5.2 Identity providers and integrations. If your organization connects the Services to a third-party identity provider, cloud service or other tool, that provider may place its own cookies when you sign in through it or use it. Those cookies are governed by the provider's own terms and policies and by your organization's agreement with that provider.
5.3 Embedded content. We do not currently embed third-party content, such as videos, maps or social media feeds, that places non-essential cookies. If we embed such content in the future, we will either use a privacy-enhanced mode that does not place non-essential cookies until you choose to interact with the content, or ask for your consent first where the law requires it.
5.4 Third-party names and logos. The appearance of a third party's name or logo on our Websites, for example to show an available integration or a partner, does not mean that the third party places cookies through our Websites, and does not mean that we endorse it or that it endorses us.
6. Legal Basis and Consent
In short: strictly necessary cookies do not need consent. If we ever want to use other cookies, we will ask you first where the law requires it.
6.1 Strictly necessary cookies. Under the electronic communications and data protection laws that apply in the European Economic Area, the United Kingdom, Switzerland and many other countries, a website may place cookies without consent where they are strictly necessary to provide a service that the user has requested or to transmit a communication. We place strictly necessary cookies on that basis. Where they involve personal data, we process it on the basis of our legitimate interests in providing secure, functioning Websites and Services to our visitors, customers and their authorized users, as explained in our Privacy Notice.
6.2 Future non-essential cookies. If we decide to use any cookie that is not strictly necessary, we will: (a) update this Cookie Policy before doing so; (b) where the law requires consent, ask for your prior, informed and specific consent through a clear consent tool, and not place the cookie until you agree; (c) make rejecting such cookies as easy as accepting them; and (d) allow you to withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal.
6.3 Records. Where we ask for consent, we may keep a record of your choice, using a strictly necessary cookie or other means, so that we can respect it and demonstrate our compliance.
7. How to Manage and Block Cookies
In short: you can see, block and delete cookies in your browser, but blocking strictly necessary cookies may stop parts of our Websites from working.
7.1 Browser controls. Most browsers let you see which cookies are stored on your device, delete some or all of them, and block cookies from all websites or from particular websites. These controls are usually found in the "Settings", "Privacy" or "Security" section of your browser. The help pages of each browser explain how to use them, including for Google Chrome, Microsoft Edge, Mozilla Firefox and Apple Safari, and for mobile browsers on Android and iOS devices.
7.2 Effect of blocking. Because we use only strictly necessary cookies, blocking or deleting them may prevent you from signing in to the Services, completing forms or using our Free Tools, and may cause parts of the Websites to display or function incorrectly. Deleting cookies will also sign you out of the Services. Nex is not responsible for any loss of functionality that results from your choice to block or delete cookies.
7.3 Browser signals. Where required by applicable law, we treat a recognized opt-out preference signal, such as Global Privacy Control, as a valid request to opt out of the sale of personal information or its sharing for cross-context behavioral advertising. We do not sell or share personal information for those purposes, so these signals do not change how the Websites operate. There is no common industry standard for "Do Not Track" signals, and the Websites do not currently respond to them; as we do not track you across websites, this has no practical effect.
7.4 Each device and browser. Cookie settings apply to the browser and device on which they are set. If you use more than one browser or device, you need to adjust the settings on each of them.
8. Information Collected Through Cookies and Retention
In short: cookies collect only technical information needed to run and protect our Websites, and we keep it only as long as needed.
8.1 Information collected. Our strictly necessary cookies, and the server logs that our Websites generate when you visit them, may involve your IP address, browser and device type, session and security tokens, the pages and features you request, and the date and time of your requests. We use this information only to deliver the Websites and Services, keep them secure, prevent and investigate abuse, and comply with our legal obligations, as described in our Privacy Notice.
8.2 Retention. Cookies remain on your device for no longer than the durations described in Section 3, unless you delete them earlier. Security and access logs are retained as described in the Retention section of our Privacy Notice, generally for up to 12 months, or longer where needed to investigate an incident or to comply with a legal obligation.
8.3 Recipients. Information collected through cookies may be processed by our hosting, security and content delivery providers acting on our behalf and under written terms, as described in the Sharing and International Transfers sections of our Privacy Notice. It is not provided to advertisers or data brokers.
9. Region-Specific Information
In short: the same approach applies everywhere, with a few points specific to certain regions.
9.1 European Economic Area, United Kingdom and Switzerland. Our use of cookies is designed to comply with the ePrivacy Directive 2002/58/EC as implemented in each Member State, the UK Privacy and Electronic Communications Regulations 2003, the Swiss Federal Act on Data Protection and the related data protection laws. Strictly necessary cookies fall within the exemption from consent under those laws. You have the rights described in our Privacy Notice, including the right to complain to your local supervisory authority.
9.2 United States. We do not sell personal information or share it for cross-context behavioral advertising through cookies or otherwise, and we honor recognized opt-out preference signals as described in Section 7.3. Residents of states with consumer privacy laws may exercise the rights described in the Region-Specific section of our Privacy Notice.
9.3 Other regions. Where other laws regulate cookies or similar technologies, including in Africa, the Middle East and Asia, we apply the same strictly-necessary-only approach, and you may exercise the rights described in our Privacy Notice.
10. Changes to This Cookie Policy
10.1 Updates. We may update this Cookie Policy from time to time, for example when we change the Websites, our providers or the technologies we use, or when the law or regulatory guidance changes. The current version is always published at nex.systems/legal. We encourage you to review it regularly.
10.2 Material changes. Before we introduce any cookie that requires consent, we will update this Cookie Policy and ask for your consent as described in Section 6.2. For other material changes, we will take reasonable steps to bring them to your attention, for example by a notice on the Websites or within the Services.

Common questions
Short answers for orientation. The document above governs if anything differs.
Only strictly necessary cookies: for signing in and keeping your session, security, abuse prevention and rate limiting, load balancing, settings needed to complete a request, and single sign-on. Section 3 lists each category, who sets it and its typical duration.
